Call numbers in forms

In an effort to provide better service to campuses and to position ourselves for a shared bib environment, the OLIS has reviewed various forms in the form_eng directory. Specifically, we are looking at which call number is displayed. When possible, the z30-call-number (the call number on the item) is preferred over the z13-call-number.

The form bor-list.xsl (list of items a patron has on loan) has been modified for all campuses.

A few campuses had other forms that needed to be modified. The OLIS has been in contact with each of these campuses.

Updated list of codes in job_list.conf

In an effort to provide better service to campuses, the OLIS has standardized the job_list.conf file.  This file defines the codes used in the job_list that represent what days each job runs.

 
Only a few campuses needed their job_list modified to incorporate the new codes.  The OLIS has been in contact with these campuses and has edited their job_list file.

 
The updated list of codes are:
W1  NYYYYYN  Mon-Fri
W2  YYYYYNN  Sun-Thu
W3  YYYYYYY  Everyday
W4  NNYYYYY  Tues-Sat

‘Tis the Season for Inventory – Aleph users beware

Yes – this is the time of year that many campuses undertake inventories and other collection management projects. If you run, or intend to run, the Shelf List job (p-item-05) – BEWARE.

The document attached to this “How To” offers tips on effectively running p-item-05 and also shows how p-ret-adm-01 can be run as an alternative.

Starting with v.20, the OLIS has seen a marked increase in the number of p-item-05 jobs that need to be killed. If a large call number range is used in the input parameters the job hangs and needs to be killed by OLIS.

p-item-05 is problematic because it first searches on the Call Number range, and then limits those results by Collection.

Before running p-item-05, it would be helpful to review the document in Footprints 6814.

Two New Custom Services Available

Two new Custom Services have been developed based on recent Footprints requests.  These are now available for your use.

Custom-46 – List of Items in Temporary Location

Circ / Services / Custom Services – Items / List of Items in Temporary Location (custom-46)

This service lists bibliographic and item information for items with the Temporary Location box checked.  Results can be limited to one Collection Code or the service can be run on the entire database.  Bib records with an STA field are not included. The output file is in comma-delimited format that can be used and manipulated in Excel.

Note:  The Temporary Location box was used extensively during conversion to protect data in certain bib records having multiple item records.  You should not remove a Temporary Location without understanding the consequences.  For more information on removing a Temporary Location, see Footprints 9261 – How to correct migrated holdings and items for multi-volume works.

Custom-64 –  OPAC Stats – Logins – Monthly

Cataloging / Services / Custom Services – OPAC Stats / OPAC Stats – Logins – Monthly (custom-64)

This service reports the total number of OPAC logins for each month within the specified year.
Statistics are available to the beginning of v16.  For campuses that offer patron login to Aleph, this service will provide additional statistics on how Aleph is used.

Enhancements to custom-56 – Items with Zero Circulation

Custom-56, Circulation Statistics – Items with Zero Circulation, has been expanded to assist with call number sorting.

     Circ / Services / Custom – Circ Stats (Titles) / Circulation Statistics – Items with Zero Circulation

Custom-56 now produces a file of BIB system numbers in $alephe_scratch in addition to the .csv files in the 50/print directory.  The file of system numbers can be used as input with other Aleph Services.

A suggested workflow to produce a list of items with zero circulation sorted by call number is to:

  • Run custom-56 with your preferred criteria.  Use the output file of BIB system numbers as input for:
  • ret-21 in the 01 library:  Services / Retrieve Catalog Records / Sort Catalog Records (ret-21).  Use the output from ret-21 as input for:
  • print-08 in the 01 library:  Services / Retrieve Catalog Records / Print Catalog Records – Columnar Format (print-08)

New Custom Service for Reference Universe Users

For campuses that subscribe to Reference Universe, there is a new Custom Service that will create a file of ISBN numbers that can be sent to the vendor.  The file contains ISBN numbers for all bib records in Aleph that do not have an STA field.

Using Task Manager, the output file can be moved to the local PC.  The file can then be emailed to the vendor.
