OLIS Service Announcement: Moving from ebrary titles to ProQuest titles in Aleph

If your campus loads ebrary MARC records into Aleph in batch and you have moved to the new ProQuest platform, OLIS now has documentation and procedures in place for you to update Aleph.

New documents have been added to Footprints Knowledge Base #12458, How To Batch Load Vendor Files of MARC Records, to assist campuses with the migration of ebrary titles to ProQuest titles, and to assist with using the ProQuest platform:

Replace ebrary Records with ProQuests Records in Aleph.docx  — Please start with this document. It provides an overview of  the project of replacing MARC records in Aleph, and how to handle monthly updates.

ProQuest – Obtaining Records from Vendor.docx

Upload MARC Files Using the GUI.docx

Add STA=SUPPRESSED-ERESOURCE to Bib Records.docx

As always, please submit a Footprints with any questions you might have.

Thank you.

OLIS Service Announcement: New Footprints on using p-manage-21

A new Footprints Knowledge Base Solution is now available:
#13084 – How To Run p-manage-21 to Change Bib and HOL Data

Two documents are included on this Footprints:
Using p-manage-21 to Change Bib Info
Using p-manage-21 to Change HOL Info

p-manage-21 is a job that allows you to make global changes to data. When run in the 01 library, changes are made to Bib records. When run in the 60 library, changes are made to HOLdings records. With p-manage-21 you can add, delete, or find/replace data. The 2 documents provide examples (with instructions) of using p-manage-21 on both Bib and HOL data.

If you have any questions, please submit a Footprints.

Thanks.

OLIS Service Announcement: Ebook Central and ebrary titles

With ProQuest’s impending move to Ebook Central for delivery of ebrary titles, it is unclear how data loads of MARC records into Aleph may be affected. There may be subtle changes in the MARC records that may require changes to the “fix” file used in p-manage-25. OLIS still needs to see these MARC records before knowing the extent of work that needs to be done.

If your campus loads ebrary MARC records into Aleph in batch and you move to Ebook Central, please contact OLIS via Footprints. Please do NOT load records from Ebook Central until OLIS can review and/or update your campus files and gives you the go-ahead to do the loads.

Thanks very much.

OLIS Service Announcement: Aleph OPAC now more secure

As of today, your Aleph OPAC is running over the more secure https protocol rather than http. Data passed between the browser and the Aleph server is encrypted on all screens and not just the patron login screens.

The url you are using for the prod OPAC is in the format:  http://zzz.sunyconnect.suny.edu:4##0/F
* zzz = campus code
* 4##0 = campus port number

After you click any Aleph link within the catalog, you will see the url changes to:  https://zzz.sunyconnect.suny.edu:4##9/F
* Note the ‘s’ in https and the last digit of the port number changes from 0 to 9.

If you’d like the opening screen of the OPAC to be https, you will need to change your link to:
Prod: https://zzz.sunyconnect.suny.edu:4##9/F
Dev: https://zzz-dev.sunyconnect.suny.edu:8##9/F
* Substitute your campus code and the middle 2 digits of your port number

If you have any questions specific to your campus, please submit a Footprints ticket.

SUNY Data Cleanup

Several recent OLIS projects, including the Campus Profiles and work on the One Bib Project, have highlighted the need to clean-up and standardize some Aleph data as we prepare to move toward a next-generation system.  Any migration of data will be easier with consistent data.

The OLIS has compiled a document that outlines several policies that will help us prepare for any future migration.  The document can be found in Footprints – Solution # 12541, SUNY Data Cleanup.

Thank you in advance for reviewing this information and reviewing and potentially updating your campus workflows policies.

OLIS Service Announcement: New Footprints on Loading Vendor Records

A new Footprints Knowledge Base Solution is now available:
#12458 – How To Batch Load Vendor Files of MARC Records

Two documents are included on this Footprints:

How To Batch Load MARC Records from a Vendor into Aleph
* Use to load new & updated records

How To Suppress Aleph Records with a Vendor Delete MARC File
* Use to load a MARC file to suppress records

This documentation does not necessarily replace any that you are already using.  Rather, it attempts to create a master set of documents that can be used for all vendor record sets.

If you have any questions, please submit a Footprints.

Thanks.

OLIS Service Announcement: DEV sides down for maintenance

Good morning –

In the next few weeks, OLIS and ITEC will be performing two projects on the campus DEV sides. The DEV side will be down for approximately one week while the work is being done.
